Project Methodologies

projectportal.co.za has been designed around a simple yet structured project management methodology that consists of four phases, Initiate, Plan, Execute and Close. The methodology module contains detailed guidelines for the project manager to follow when managing projects. The standard methodology contains generic project roles, responsibilities, activities, templates, tips and pitfalls and can be modified to incorporate your business specific processes.

Project Visibility
projectportal.co.za gives visibility to executives and management of all projects underway in their organisation, with a focus on project progress and costs.

Project Resources
Enter project resources onto the portal and assign them specific roles in a project. All project roles will receive email notification of their assignment to the project with a brief outline of their responsibilities.

Documentation Repository
A documentation repository is available for each phase of the project with an upload facility that enables all team members to upload their deliverables to this central project repository.

Risk, Issue & Change Request Database
projectportal.co.za enables the assignment of issues and risks via e-mail to the individuals responsible for the resolution and/ or management of the risk or issue. Change requests logged against a project are routed via e-mail for approval.

Reporting
Standard reports are available on projects registered and their status as well as a report on all issues, risks and change requests logged. Custom reports can be developed as required.

Security
Knowing that security of project information is imperative to any organisation, no expense has been spared in ensuring that projectportal.co.za is hosted in the most secure hosting environment possible.

Security Features include:

Firewall (Software and Hardware)
All our servers are hosted behind a firewall which monitors for, and prevents, any unauthorised access to any aspect of the projectportal.co.za system.

System Backup and Recovery
projectportal.co.za boasts a managed backup service, controlled by a software agent that is installed on the server. Backups are done on a daily and a weekly basis.  All backups are kept offsite to further enhance security and reliability.

Customised look & feel
Upload your company logo onto projectportal.co.za, giving the portal your organisations look and feel. Categorise projects, risks, issues and change requests for your organisations specific requirements.

Project Initiation Document Approval
An approval process via e-mail, ensures that projects are approved formally before moving to an in-progress status.

User dashboard view
Each user when logging onto the portal will be presented with their own dashboard view of projects they are assigned to and the status of the project in terms of time, budget and scope.

Milestones
Default milestones are generated for each phase of the project, but the project manager is able to add additional milestones per phase. Email reminders are sent to the project manager when milestones become due. Milestones can be reported on in the progress report.

Minutes
A simple minutes module is available for project managers to capture actions agreed at project team meetings. These can then be emailed to team members as tasks.
